February feature release

Precision Planning and Protected Peer Review

At Ex Ordo, we’re always working to make our platform more powerful and intuitive. Our latest release includes features designed to help you run smoother, smarter conferences—from the logistics of the poster hall to the integrity of the peer review process.

1. Presentation Codes: Your Programme’s New North Star

Navigating a massive programme can feel like a maze for organisers and attendees alike. Our new Presentation Codes feature in Virtual allows you to label and track every presentation with surgical precision.

  • Global or Granular Control: Set codes globally for all new sessions, apply them in bulk to existing ones, or customise individual formats manually.
  • Total Visibility: Once enabled, these codes appear everywhere your content lives—within the Event Space and across all exports (Excel, PDF, Word, JSON, and "At a Glance" views).
  • Seamless Referencing: Whether you’re searching in the Discover tab or sharing info with your team, these codes act as a universal ID for your sessions.

Solving the "Poster Hall Panic"

If you’ve ever seen an attendee wander aimlessly through a forest of poster boards, you’ll love this update.

We’ve bridged the gap between your digital programme and the physical event space. Each poster is now assigned a dedicated number that links directly to its Presentation Code. This creates a clear, unbreakable connection between your schedule and the physical poster panels onsite.

  • For Organisers: Simplifies setup and reduces transition-time chaos.
  • For Presenters: No more last-minute uncertainty about where to pin their work.
  • For Attendees: A frustration-free experience when hunting down that one specific researcher they need to meet.

3. Integrity at Scale: CrossCheck Integration

Academic integrity is the backbone of any scholarly conference. We’ve introduced a new CrossCheck integration that allows your team to run plagiarism checks without ever leaving Ex Ordo.

Admin and track chairs can now trigger checks in bulk or on individual submissions and review the results directly within the system.

Note: This integration is currently available for IEEE conferences only. However, if you are a non-IEEE customer using iThenticate, reach out to us—we’d love to chat about your needs.

4. No More "When Is My Session?" Emails

The new Virtual [[PresentationTimes]] Macro is a major win for your inbox. By including this macro in your presenter emails, the system automatically expands it to show each presenter exactly when and where they are scheduled in the programme.

It’s a simple automation that drastically reduces back-and-forth queries, ensuring your speakers arrive at the right room at the right time.

5. Automatic "Anonymity Insurance" for PDFs

Maintaining a true double-blind review is harder than it looks—authors often forget to strip identifying info from their uploads.

To protect your review process, we’ve added a new Anonymous PDFs Validation step. Ex Ordo now automatically scans the first page of each uploaded PDF for identifying information. If the system detects names or affiliations, it rejects the file immediately, forcing a fix before the paper ever reaches a reviewer. It’s an automated safeguard that prevents reviewer conflicts before they occur.
