Why did we build Ex Ordo?

We have spoken to hundreds of academic conference organisers about the issues they face in running a successful conference. Again and again, we heard that conference chairs underestimated the amount of work involved in running an academic conference. There are hundreds of tasks that consume an organiser’s time – following up with colleagues, finding reviewers, getting authors to submit on time, sending out reminders, chasing delegates for payments, building timetables and proceedings, to name but a few.

We learnt that chairs don’t have a roadmap to follow when taking on a conference, so it is difficult to know where you are in the process, what is ahead and what you need to watch out for. Its easy to fall off the right track and a lot of time is spent fire-fighting just to get back on track again.

We found that chairs have to juggle the conference organisation with a full-time day job. They would love to spend their limited conference time, not on mundane admin tasks but on building a better conference; reaching out to the best authors, reviewers, speakers and sponsors for their event.

We learnt that some conference chairs use a manual system for conference organisation, while some use some form of online system. But while the existing online systems save some time and effort, they do not address many of the fundamental problems that conference chairs have.

So we asked – is there a better way? The answer was… maybe, but only if we could solve the underlying problems that were not being addressed. We spent 12 months figuring out the problems and another 9 months working on a solution.

The result is Ex Ordo.  It has all the elements of a standard conference management system.
